Terms of Service

Effective Date: October 2026 • Master service terms governing website engagement and client RCM operations.

1. Acceptance of Terms

These Terms of Service ("Terms") govern your use of the website operated by TBL MedRCM ("Company," "we," "us," or "our") at www.tblmedrcm.com and any associated client portal features, consultation booking tools, or service communications. By visiting our site or submitting inquiries, you confirm that you are at least 18 years of age and authorized to bind your medical practice or organization.

Formal revenue cycle management engagements are governed concurrently by our bilateral Master Services Agreement (MSA) and Business Associate Agreement (BAA). In the event of any conflict between these website terms and an executed MSA, the terms of the MSA shall control.


2. Scope of Healthcare Financial Services

TBL MedRCM delivers medical billing, claims adjudication, accounts receivable follow-up, denial appeals, provider credentialing, and revenue cycle consulting to medical practices, laboratories, ambulatory clinics, and healthcare groups throughout the United States.

While we leverage certified AAPC coders, specialized claim scrubbers, and electronic clearinghouse integrations to optimize cash flow, TBL MedRCM does not guarantee specific dollar collections or insurance payer reimbursement rates, as third-party payer decisions remain subject to medical necessity guidelines and patient policy parameters.


3. Client Responsibilities & Clinical Documentation

Healthcare providers partnering with TBL MedRCM agree to supply accurate, contemporaneous clinical notes, encounter documentation, patient demographic details, and active insurance coverage information. The client retains legal responsibility for:

  • The clinical accuracy and medical necessity of all documented services and diagnostic findings.
  • Proper physician sign-off on electronic health records (EHR) before claim transmission.
  • Timely delivery of insurance explanation of benefits (EOBs) and paper remits received directly at the clinic.
  • Maintaining valid state medical licenses, DEA certificates, and provider credentials.

4. HIPAA Compliance & Protected Health Information

TBL MedRCM operates as a Business Associate under the Health Insurance Portability and Accountability Act of 1996 (HIPAA) and the Health Information Technology for Economic and Clinical Health (HITECH) Act. We maintain physical, administrative, and technical safeguards including AES-256 encryption at rest and TLS 1.3 in transit to safeguard Protected Health Information (PHI).

Clients and prospective clients must never transmit unencrypted PHI through public website contact forms. Encrypted SFTP channels, secure EHR integrations, or direct portal uploads must be utilized for all identifiable patient records.


5. Intellectual Property & Website Use

All proprietary materials, workflows, custom rule libraries, website designs, graphics, branding, and text displayed on tblmedrcm.com are the exclusive intellectual property of TBL MedRCM. Unauthorized copying, web scraping, automated extraction, or reproduction for commercial distribution without written consent is strictly prohibited.


6. No Medical or Legal Advice

The educational content, blog articles, denial benchmark calculators, and webinars published by TBL MedRCM are provided for general administrative insight. They do not constitute formal legal counsel, clinical advice, or an official guarantee of payer coverage. Practices should consult healthcare compliance attorneys for statutory regulatory matters.


7. Limitation of Liability

To the maximum extent permitted by applicable federal and state law, TBL MedRCM and its directors, officers, employees, and agents shall not be liable for any indirect, punitive, special, incidental, or consequential damages resulting from website downtime, cyber threats beyond reasonable commercial control, or third-party clearinghouse outages.


8. Governing Law & Jurisdiction

These Terms are governed by and construed in accordance with the laws of the State of Colorado, without giving effect to conflict of law principles. Any dispute arising out of or related to these Terms shall be resolved exclusively in the state or federal courts located in Denver County, Colorado.
